Setup and Dismantling for IBS

You can begin set-up of your booth anytime after your freight is delivered to your booth.

If you ship your freight directly to the show site, how long it takes for your freight to be delivered to your booth depends on many factors, so for planning purposes it is recommended that you schedule your set-up for late in the day (if you have a morning delivery time) or the following day (if you have an afternoon delivery time).

SET-UP COMPLETION DEADLINE

All crates must be emptied and labeled for removal by 3:00 p.m., and exhibits must be completed by 5:00 p.m., Monday, January 30, 2023.  Important Note: Please read the new "Clean Floor Policy"

SETTING UP YOUR OWN BOOTH(Click to Expand / Collapse)

Exhibitors are permitted to setup and dismantle their booths without assistance from the Local IATSE Union. Only full-time employees of the exhibiting company are permitted to erect and dismantle. Any labor services that may be required beyond what your regular full-time employees can provide, must be rendered by the Union. Labor can be ordered in advance by returning the Display Labor form, or at showsite, at the service desk. Proof of full time employment status may be requested by the Union Steward of any personnel working in your booth.

To authorize your staff to setup your own booth, you will need to do the following:

  • Provide ‘Exhibitor’ badges for your company setup and dismantling employees. Please remember that the Exhibitor Registration Desk will close at 6:30 pm on Monday, January 30. If you are arriving on Monday, please arrive before the Exhibitor Registration desk closes, or you will not have a badge (or access to the exhibit floor) until the following morning.

  • There are to be no carts or dollies on the exhibit floor during show hours.

 

USING AN EXHIBITOR APPOINTED CONTRACTOR (EAC)

If you intend to use contractors other than the Official IBS Contractors to assist in setting up or doing any other work in your booth (including yourself, if you are setting up your own booth), then you must review the EAC Section.

NOTE: If you use an Official IBS Contractor, you do not need to submit EAC paperwork.

 

SERVICE DESK HOURS

We will have staff available at the Freeman Service Center as follows:
 
Wednesday - Sunday January 25-29, 2022 8:00 a.m. - 5:00 p.m.
Monday January 30, 2023 8:00 a.m. - 6:00 p.m.
Tuesday January 31, 2023 7:00 a.m. - 5:00 p.m.
Wednesday February 1, 2023 8:00 a.m. - 5:00 p.m.
Thursday February 2, 2023 8:00 a.m. - 10:00 p.m.
Friday - Sunday February 3-5, 2023 8:00 a.m. - 5:00 p.m.

EXHIBIT HOURS

The exhibit floor will be open according the hours listed below:

Tuesday, January 31 9:00 a.m. - 5:00 p.m.
Wednesday, February 1 9:00 a.m. - 5:00 p.m.
Thursday, February 2 9:00 a.m. - 5:00 p.m.

HAND-CARRYING ITEMS

  • As an exhibitor you may "hand carry" small items such as cartons and packages.
  • Hand carrying is limited to what "one" person is able to carry.
  • Any mechanical assistance is limited to a small dolly.
  • The assistance of any motorized device or pallet jack is not permitted.

Exhibitors are permitted to hand carry items to and from the designated Personally Owned Vehicle area. Exhibitors may NOT unload or hand carry anything from the loading dock. See Self-Unloading Policy. Freeman does offer a lower cost "cart service" option to move your freight from your vehicle needing to be unloaded in the dock area. See Cart Service.

Hand carrying is permitted through the main entrance of the facility. In all other circumstances, items should be considered material handling. In no circumstance is any exhibitor authorized to use Freeman material handling equipment for any purpose.

 

24-HOUR ACCESS

Your exhibitor’s badge allows you to have 24-hour access to the exhibit floor, throughout the show. Please be reminded that, while your badge is 24-hours, the Exhibitor Registration desk is not. Please review the exhibitor registration schedule.

CRATE STORAGE

Empty crates and boxes will be removed from the booths to a storage area and returned to the Exhibitor at the close of the show. To protect against loss, small cases should be placed inside larger ones whenever possible.

“Empty” stickers will be available at the Exhibitor Service Desk. Affix the stickers to the empty crates and boxes you wish returned to your display location. Move all crates and boxes into the aisle. Laborers will remove all empty crates daily, and those not tagged will be destroyed. Remember to check crates for essential exhibit material that might be needed for your display. The storage area will be inaccessible once crates are removed from the exhibit hall.

Accessible Storage If you require access to stored materials for daily replenishing of supplies etc., please visit any Freeman Service Center when you arrive onsite.  Additional fees apply.

RESTOCKING MATERIALS

Accessible storage is available to all exhibitors onsite.  You must visit any of the Freeman Service Centers onsite to make arrangements.  There is a fee for accessible storage. The re-stocking of brochures, fliers or other materials to one's booth can only be done before the exhibit floor opens and after the exhibit floor closes at the end of the day. There are to be no carts or dollies on the exhibit floor during show hours.

DISMANTLING YOUR BOOTH

Exhibitors and Exhibitor Appointed Contractors may NOT begin dismantling any time prior to 5:00 p.m. Thursday, February 2, and must keep all tools and booth materials within the confines of the exhibit space.

Removal of aisle carpet will begin on Thursday, February 2 at 5:00 p.m. Cartons and cases will be returned first; and all crates will be delivered to booths as soon as possible, but no later than 8:00 am Friday, February 3.

All exhibitors with a Monday, January 30, move-in date must begin dismantling on Thursday evening, February 2, to allow room for the opening of freight doors and the return of empty containers. Drivers scheduled to pick up these materials must check-in on Friday, February 3, 2023, by 8:00 a.m.

All exhibitor materials must be removed from the facility by: Sunday, February 5, 2023 at 12:00 p.m.

To ensure all exhibitor materials are removed from the exhibit facility by the Exhibitor Move-Out deadline, please have all carriers check-in at the Marshalling Yard no later than: Sunday, February 5, 2023 at 8:00 a.m,.

You may obtain your pre-printed shipping documents (Material Handling Agreement) and labels at one of the Freeman Exhibitor Service Centers located in the West or South Hall.  Please do not leave your Material Handling Agreements in your booth. They must be turned in at the Freeman Service Center when completely filled out. 

Please turn in completed Material Handling Agreements by 8:00 a.m. on: Sunday, February 5, 2023.
